SEADS Technology Privacy Policy

SEADS Technology (“SEADS”, “we”, “us”, or “our”) is committed to protecting your privacy and handling your personal data responsibly. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit seads.io or use our client portal or job portal.

1. Who We Are

SEADS Technology is a global consulting firm that delivers data-driven solutions across various sectors, including government, education, health, and sustainability. We operate under Apiou Company Ltd, headquartered in Ohio, USA.

2. Information We Collect

a) Information you give us

  • Name, email address, phone number and other contact details
  • Résumés, cover letters and professional credentials
  • Profile data you submit in job applications or forms
  • What you write to us through contact forms or support channels

b) If you use the client portal

  • Your account: name, email address, language, and whether two-step sign-in is on
  • The records we share with you there, such as quotations, invoices and documents

c) Technical data

  • What your browser sends when you visit (IP address, browser and device type, the page requested), which our servers record in their logs
  • Two cookies the site needs to work (see section 7)

d) Information from others

We may receive information about you from third-party platforms (for example LinkedIn) or partners (for example referral programs or project consortia) if you have consented to share it with us.

3. How We Use Your Information

  • Respond to your inquiries or requests
  • Evaluate your qualifications for freelance or contract opportunities
  • Include your profile in client proposals, EOIs, RFPs or service bids
  • Manage project staffing and partner communication
  • Give you access to the client portal and keep it secure
  • Operate, improve and secure our website and digital services
  • Comply with legal obligations and protect our legal rights

We will never sell your personal data.

4. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area (EEA), we process your data on one or more of these legal grounds:

  • Your consent (for example when you submit an application)
  • Performance of a contract, or steps you ask for before one
  • Compliance with legal obligations
  • Legitimate interests (for example security, service improvement, proposal preparation)

5. Who We Share Data With

  • SEADS team members and contractors who need it for their work
  • Potential clients, in the context of project proposals or staffing, as the Job Applicants Terms of Service describe
  • Hetzner, which hosts our servers and backups in the European Union (Germany and Finland)
  • YouTube (Google), only if you play a video on our videos page: the player loads from youtube-nocookie.com after you click play, and YouTube then receives your IP address and browser details
  • Governmental, regulatory or legal authorities when the law requires it

Email to and from us goes through our own mail server. We do not use advertising or analytics services on seads.io.

6. How Long We Keep Data

We keep your data only as long as needed for the purposes in this policy, or as the law requires:

  • Job applications and résumés: 24 months after our last contact with you, unless you ask us to delete them sooner
  • Messages sent through the contact form: 24 months
  • Client portal accounts and the records in them: while you are our client, then as long as accounting and tax law requires for invoices
  • Server logs: 14 days

You may ask us to delete your data at any time (see section 8).

7. Cookies

seads.io uses two cookies, both needed for the site to work: one keeps your session (for example while you are signed in) and one remembers the language you chose. We do not use advertising or analytics cookies. Because we only use these, the site does not show a cookie banner. You can delete cookies in your browser settings at any time.

YouTube may set its own cookies only if you play a video (see section 5).

8. Your Rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Ask us to delete your data
  • Object to or restrict certain processing
  • Receive your data in a portable format
  • Withdraw your consent at any time
  • Lodge a complaint with a data protection authority

9. Data Security

We protect your data with technical and organizational measures, including encrypted connections, role-based access, optional two-step sign-in, and nightly backups.

However, no method of transmission over the internet is 100% secure. We encourage you to use a strong password and to turn on two-step sign-in.

10. International Transfers

We store your data in the European Union. It leaves the EU only in the cases listed in section 5, and when we include your profile in a proposal to a client in another country. Where required, we use safeguards such as Standard Contractual Clauses (SCCs) or equivalent mechanisms.

11. Children’s Privacy

Our services are not directed to individuals under 18. We do not knowingly collect data from minors. If you believe a minor has submitted data, please contact us so we can take appropriate action.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Any change will be posted on this page with a new “last updated” date.
